How to tell the Library you intend to publish or reproduce a collection item

We request that you inform us if you wish to publish, reproduce, print, use online, broadcast, perform, display, include in a film, project or quote the whole or part of an item from our rare and unique collections.

This allows us to inform you of your responsibilities in relation to copyright, conditions of use, moral rights, performance rights and correct forms of acknowledgement. 

We have an Indigenous Cultural and Intellectual Property protocol. Under this protocol you may be also required to seek cultural clearances before you can publish or reproduce First Nations material.

If you wish to reproduce text or images from a published collection item (except sheet music), you do not need to fill out an intention to publish form. 

It is your responsibility to interpret and adhere to relevant copyright law, obtain any required permissions and assess the risk of publishing. Learn about copyright in our collection.

Methods to declare your intention

There are 2 ways to declare your intention to publish or reproduce from our rare and unique collections.

Order a publication quality copy of the material

If you require a publication quality copy of a collection item, this can be obtained through our Copies Direct service. To order:

  1. Locate the item in our catalogue.
  2. Select the Order a copy option and add the item to your cart.
  3. Fill in your contact details.
  4. In the Declaration of Use section, provide details of your intended use

We will advise you if:

  • permission is required from relevant rights holders
  • you need to seek cultural clearance for First Nations material
  • there are any other responsibilities during the ordering process.

If you are ordering a copy for publication through Copies Direct, there is no need to fill in a separate intention to publish form.

Submit an intention to publish form

You are required to fill out our intention to publish form if you:

  • wish to use one of our low-resolution online collection items for a purpose other than research, study or personal use
  • ordered a copy via Copies Direct and told us your order was for research, study or personal use, but you now wish to publish
  • wish to re-use or re-purpose a previously obtained item
  • wish to quote from an Oral History or Manuscript held in our collection
  • wish to perform a piece of music held in our collection.

Fill out our intention to publish form

We will advise you if:

  • permission is required from relevant rights holders
  • you need to seek cultural clearance for First Nations material
  • there are any other responsibilities.

We recommend that you allow 15 working days for a response to your intention to publish declaration. This may include a request for further information to inform our decision or a notification that further permissions will be required to proceed. Please note that obtaining appropriate permissions can be a lengthy process and this should be factored into your timeframes.
